Follow up after quoting

Sending a quote is only the start

It is really important to follow up after sending a quote with a message or a call in order to maximise your chances of getting a booking. Following up helps to keep you top of mind & shows the customer you're keen on working their event!

Responding promptly to client requests not only demonstrates professionalism but also increases trust and engagement, which are critical for conversions.

Phone the organiser if there is a number

If the customer has provided a number with their request, phone them within 24 hours of sending the quote. Strike while the iron is hot!

Here's how to find the customer's phone number:

  1. Open the Quotes panel

  2. Click into the relevant quote that you would like to follow up with

  3. View the Event details (these are on the right hand side of your screen on desktop, or you can switch between the quote & event details tab on mobile)

  4. Scroll down to the Phone icon. If a phone number is provided it will appear here. If a phone number has not been provided, it will say not provided in this space.

Send a message if you have not heard anything after 24 hours

If you haven't heard from the customer after 24 hours, follow up with a message by clicking into the quote and sending a message.

Follow-ups are most effective within 24 hours of sending a quote. This strategy increases booking prospects and fosters client engagement.

The message can look something like:

Hi <<organiser first name>>,

How are you getting on with your plans for your event?

I haven't heard from you yet about the quote I sent to you. I was just wondering what you thought about it? Please get in touch so we can discuss it further - you can give me a call on 07XXX XXX XXX or email me at example@email.co.uk

Personalisation is key: reference specific event details or align your message with the client's expressed needs to stand out. For example, you could mention unique aspects of their event from the request description, which shows attentiveness and adds a personal touch.
