Your Calendar has been upgraded to make managing your availability faster and easier.
Now, you can see a summary of your existing bookings straight from the event details of a request, quote or booking - helping you make quick decisions, avoid double bookings, and stay organised.
What’s New?
Availability Status
When you view a new request, a sent quote, or an upcoming booking and click to see more details, you’ll now find “Your Availability” beneath the event date and time.
This shows you whether you already have an event scheduled in your calendar on that date.
Availability statuses:
Calendar clear – you have no events in your Add to Event calendar for this date.
1 entry in calendar – you have an event in your Add to Event calendar on this date.
Blocked - you have chosen not to receive any new requests on this date. (This status will only show in quotes and bookings. Requests on blocked dates will be automatically hidden from your inbox).
Previewing calendar entries from your inbox
If you already have an event entered in your calendar, but you haven’t blocked out the day to stop receiving new requests, you’ll see “1 entry in calendar”.
You can click this to open a pop up & preview the details of the event(s) you already have booked for that day - without leaving your inbox.
If you’d like to stop receiving any more requests for that date, simply click “Block Day” in the pop up & then press “Save”.
Or, if you’re looking at an upcoming booking or sent quote and see the “blocked” status, you can click on this to mark the date as available again or view any notes you left when blocking out the date.
These powerful updates give you visibility of your schedule & the option to manage your availability right where you need it - no need to switch screens or open your Add to Event calendar separately.
Accessing Your Calendar
You’ll now find Calendar in the main menu for quick access.
From here, you can:
View and manage your Add to Event bookings.
Block dates you’re unavailable (so you won’t receive new requests).
Unblock dates when you become available again.
Turn auto-block on or off (automatically blocks any days where you already have an Add to Event booking).
Set your working days.
Keep scrolling for simple instructions on managing all aspects of your calendar.
Managing Your Calendar
View & manage bookings
To see your calendar entries, upcoming bookings & the dates you're unavailable, simply:
Click "Calendar" in the main menu
Browse dates to see when you're busy
To see more details of an upcoming booking in your calendar, click the event to go straight to your quote thread & view the event details.
Pro Tip: Switch between year, month, week and daily views for more detail.
Block dates you're unavailable (and unblock if you become available)
Blocking out a date in Add to Event (even if you don't have a booking through us) will prevent you from receiving any further requests for that date.
Use this to stop receiving requests on days when you're on holiday, non-working days, or times you're busy for any other reason.
To block a day & stop receiving new requests:
Click on the date in your calendar (or click & drag on the series of dates if you'd like to block out more than one day)
Select "Block day" from the pop up
Choose to leave a note if you like with the reason you're busy
Press "Save"
Remember: Blocking requests won't impact any quotes you have already sent or any upcoming bookings, but it will prevent you from receiving notifications of any new requests on that day.
Unblocking dates (Marking dates as available)
You can unblock a day to start receiving requests again at any time. To do this:
Click on the blocked date (or click & drag on the series of dates)
Select "Mark Day as Available" in the pop up
Press "Save"
You will then start to receive requests again for this date
If you have events booked through Add to Event for these dates, preview them in the pop up or click on the event to go straight to the booking & chat history for more details.
Turn on / off auto-block
Turning on auto-block means that whenever you receive a new confirmed booking through Add to Event, we will no longer send you requests for that date.
You can turn auto-block on or off at any time by:
Click on "Calendar" in the main menu
Select "Working Days" in the top right of your screen above the calendar
Tick or untick the option that says "Enable auto-blocking for days when I have confirmed events"
Press "Save"
Remember: auto-block will only work to block out dates for new confirmed bookings from the date you turn it on. It won’t block out dates for bookings that are already confirmed in your calendar.
Managing your working days
Set up your working days so that you only receive requests for dates that you're working.
For example, perhaps you're only looking for mid-week bookings or you're unavailable every Thursday due to a prior commitment - easily set this up in your working days so you never receive an irrelevant request.
To set up your working days:
Click on "Calendar" in the main menu
Select "working days" in the top right of your screen above the calendar
Tick or untick the days you'd like to receive requests
Press "Save"
You can update this at any time as your needs change.
