Integrating your Google Calendar allows you to see all of your events from both on and off Add to Event in one place, so you can easily check your availability before sending a quote.
By syncing your Google Calendar with your Add to Event account, all of your entries from this calendar will appear in your Add to Event calendar (alongside any manual entries you’ve added and bookings you’ve confirmed through us).
This means you can quickly manage your time, spot availability conflicts, and make quoting decisions faster than ever before.
Getting Started
What is the Google Calendar Integration?
The Google Calendar Integration allows you to sync your Google Calendar with your Add to Event calendar. Once connected, you’ll see all of your events, from both Google Calendar and Add to Event, in one place. This makes it easy to check your availability before sending a quote, without switching tabs.
How does the integration work?
When you connect your Google Calendar, all your existing entries automatically appear alongside your Add to Event manual entries and confirmed bookings. You’ll see everything in one unified calendar view.
How do I connect my Google Calendar?
Log in to your Add to Event account.
Go to the “Integrations” section in your menu.
Click “Connect to Google Calendar.”
Choose the Google account you’d like to connect.
Follow the on-screen instructions to confirm.
Once complete, your Google Calendar entries will appear directly in your Add to Event calendar.
Can I choose which Google Calendar to connect if I have multiple accounts?
If you have multiple Google accounts, you can select which one you would like to sync during set up. We will only sync the main calendar from this account.
Can I control which Google Calendar events show up?
Only events from your main Google Calendar will appear. Additional calendars, such as shared or personal ones, aren’t included.
We also exclude tasks, holidays, and birthdays.
If you’d like events from another calendar to appear, you’ll need to copy them into your main Google Calendar.
How quickly do updates sync?
Updates appear in real-time. Any changes you make in Google Calendar, including adding, editing, or deleting an entry, will reflect in Add to Event.
If you don’t see updates right away, press “Refresh” in the top-right corner of your Add to Event calendar.
Can I disconnect my Google Calendar?
Yes. You can disable the integration anytime by going to your Integrations tab and selecting “Disconnect from Google Calendar.”
This immediately stops all syncing and removes your external events from your Add to Event calendar.
Managing Your Availability
Does the integration affect how often I receive requests?
Nothing will change about the requests or notifications you receive. You’ll continue to receive all requests as normal, regardless of Google Calendar events - even if you have the auto-blocking feature turned on.
However, when you open a new request and preview the event details, you can check the “Your Availability” section to see how many events you have in your Add to Event and Google Calendars.
This will show which will one of the following statuses:
Calendar clear – No events on this date
1 entry in calendar – You have an event that day (This number will update if there are multiple entries, e.g. “3 entries in calendar.”)
Blocked – You’ve blocked this date from new requests
You can click on the status to expand and review the details of existing events in your calendar before deciding to:
Send a quote
Keep your calendar open to new requests but skip this one
Block your availability for that day
What if I have a Google Calendar event at the same time as an Add to Event booking?
If there’s an overlap, both events will display in your Add to Event calendar - nothing is blocked automatically.
Can I manually block or unblock days?
Yes. You can always manage your availability manually:
Click the date (or drag over multiple days) in your Add to Event calendar.
Select “Block day.”
Add an optional note.
Click “Save.”
Blocking a date won’t affect existing quotes or bookings but will stop new requests for that day. You can unblock it anytime.
You can also turn on Autoblock, which automatically blocks new requests on days where you have confirmed Add to Event bookings.
Days with external (Google) events are never blocked automatically, they’re simply shown for awareness.
Remember: auto-block will only work to block out dates for new confirmed bookings from the date you turn it on. It won’t block out dates for bookings that are already confirmed in your calendar.
Privacy & Data
Can Add to Event see the details of my Google Calendar events?
No. When you connect your Google Calendar, all entries are only visible to you (or anyone who shares your account login).
We only store the minimum data required to display the events in your Add to Event calendar and request details. Our staff cannot see or access the external events in your calendar.
Are any of my events visible to customers or the public?
No. Your Google Calendar entries, along with your Add to Event calendar and blocked dates, are never publicly displayed or accessible to customers.
What permissions am I granting when I connect my Google Calendar?
When you set up your Calendar integration, you will be taken to a screen where Google will explain which permissions are required.
Add to Event currently requires access to display your events from your Google Calendar in your Add to Event calendar.
We only store the minimal data required to show these events in your account and our staff cannot see or access your external events.
Your data is kept private and secure, and will never be used outside your Add to Event account.
Troubleshooting
How can I refresh or re-sync my Google Calendar if events aren’t showing up?
If your Google Calendar entries or updates aren’t appearing, try the following:
Press “Refresh” in your Add to Event calendar.
If that doesn’t work, disconnect and reconnect your calendar in the Integrations tab.
If problems persist, contact our support team for help.
What happens if I change or delete events in Google Calendar?
Changes are reflected in real-time. If you don’t see them, press “Refresh” to update your view.
Can I connect multiple calendars?
You can only connect one Google account at a time. To switch, disconnect your current one and reconnect using another account.
What happens if I disconnect my Google Calendar?
When you disconnect, all synced Google Calendar events are immediately removed from your Add to Event calendar.
You’ll still see your manually added events and confirmed bookings.
